Calendar - Overview of 4-H Year
The 4-H year runs from October 1st - September 30th. Throughout the year there are a variety of opportunities available to 4-H clubs and information that is needed from clubs. During the year, club leaders will receive mailings with information about these opportunities and forms that need to be completed on behalf of the club
The following monthly listing highlights the majority of these opportunities and required forms:
October
- This is the time of year that 4-H clubs are re-organizing for the new year. The following information is needed from 4-H clubs by November 1st in the UW-Extension Office. All of these materials are distributed at the Fall Club Leader/Non-Club Family meeting held in late August.
- Enrollment forms for both member and volunteer leaders and behavior agreements for members and leaders. Forms are always available at the UW-Extension office or online.
- Club Information Packets. These completed forms and attachments must be on file in the UW-Extension Office for the club to be authorized to use the 4-H name and emblem for the upcoming year. Forms are always available at the UW-Extension office or online.
- Literature order for the club. Either the club leader or another volunteer needs to review the club's enrollment forms and complete the literature order form for the materials members and leaders need. Literature will then be provided to the club based on this order form. Literature order forms are always available at the UW-Extension office or online.
- County Event Coordinators recruited at this time of year. Individuals and/or clubs are asked to volunteer to coordinate various county events during the upcoming year (i.e. Music Festival, Drama Festival, etc.). Volunteers are supplied with a description of the coordinator role and an outline of things that need to be done.
November
- Clubs continue to work on re-organizing for the upcoming 4-H year and submit necessary forms as listed in October to UW-Extension Office by November 1st.
- Encourage club officers to attend Club Officer Training session to learn more about their roles.
- Club leader receives the awards packet following the Annual Recognition Banquet for their club from the previous 4-H year. Some clubs have a special club award program.
- Club leaders receive a computer roster listing their members and leaders from the UW-Extension Office. Club leaders are asked to review these rosters for accuracy based on the enrollment forms submitted.
- Club literature orders are filled and packets of literature ordered are ready for clubs to pick up at the UW-Extension Office for distribution to club members and leaders.
December - January
- Information is distributed to new volunteer leaders explaining the Youth Protection Program and a form to establish this year's orientation session date. Since there may be new volunteer leaders who may not have completed an enrollment form by this date, club leaders are also sent this same information to share with any of them.
February
- Club leaders are sent an updated club computer roster to review for any changes or missing enrollments before the March 1st deadline to be enrolled to exhibit in Jr. Division at the County Fair.
March
- Club leaders are sent an updated club computer roster following the March 1st deadline. At this time they are also sent an invoice for their club's member insurance for the year.
April
- Club leaders are notified that Fair Exhibitor Handbooks and entry forms are ready for them to pick up and distribute to their club members. Clubs should make arrangements to collect each members forms, review and return them as a group to the UW-Extension Office by the June 15th deadline.
May
- Club leaders are sent information about the upcoming Dairyland Stand 4-H Raffle to be held in conjunction with the Lincoln County Fair. Clubs are asked to recruit members, leaders and parents to work 2 hour shifts in each of these booths during the fair and to distribute raffle tickets for members to sell prior to the Fair. Funds raised through this raffle are used to support the overall 4-H program (i.e. purchase of literature, support member trips and awards, etc.).
June
- Fair entry forms must be in the UW-Extension Office by the June 15th deadline. No exceptions are made to this deadline.
July
- Coordinate, support and encourage club members as they participate in this year's county fair, both individually and as a club.
August
- Club leaders are sent an informational packet about awards for individual members and their club. These include award pins based on memory (record) books/portfolios, member and leader year pins, graduating 4-H members and special awards.
- Club leaders attend the Fall Club Leader/Non-Club Family meeting where information for the new 4-H year is distributed (i.e. enrollment information, club information form, literature order form, etc.).
September
- Club leaders coordinate submission of proper award information distributed in August.
Please note the club leader may also ask another volunteer in the club to do these things for their club. The club leader is the contact person for which club information is distributed by the UW-Extension Office and/or Lincoln County 4-H Leaders' Association. However, it is unrealistic to think that any one person can do this alone, so club leaders are encouraged to recruit others to help them.
